Data Use Policy

You retain full ownership of all data you upload to Coalesc. We do not claim any intellectual property rights over your content.

You can delete your data at any time. Upon deletion, we remove your data from our active systems within 30 days and from backups within 90 days.

We process your documents to:

• Extract and structure information
• Classify and organize documents
• Enable search and retrieval
• Generate exports in your preferred format

Processing occurs on secure infrastructure within Canada. We use automated systems to improve efficiency while maintaining human oversight.

We use AI to improve document processing accuracy. Important principles:

• Your data is never used to train external AI models
• We do not share your data with third-party AI providers for training
• Learning is scoped to your organization only
• You can opt out of organization-level learning features

Your data is strictly isolated:

• Separate storage per organization
• No cross-tenant data access
• Role-based access controls within your organization
• Audit logs for all data access

You can export your data at any time in standard formats:

• Original uploaded documents
• Processed data in CSV, Excel, or JSON
• Structured exports compatible with accounting software

Export requests are typically fulfilled within 24 hours.

When you connect Coalesc to third-party services (e.g., QuickBooks), we share only the data necessary for the integration to function.

You control which integrations are active. Disconnecting an integration stops data sharing immediately.

In the event of a data breach:

• We will notify affected users within 72 hours
• We will provide details about the nature and scope of the breach
• We will take immediate steps to contain and remediate
• We will report to relevant authorities as required by law
